Manage provisioned phones
Review existing devices, update supported settings, and apply configuration safely.
The customer Phones page manages devices that already belong to the selected phone system. A phone may be a desk phone, softphone, DECT device, or supported speaker, and may be assigned to one extension. This page covers the parts that are the same for every device: finding it, editing its details, and getting a saved change onto the hardware.
Prerequisites
- A phone already present in the Phones list.
- Phone write access to save settings or push configuration.
- An existing extension if the device needs an assignment; assignments are managed from the extension editor.
Find a device
- Open Settings, expand Call Setup, and select Phones.
- Choose Card or List with the view toggle. Cards lead with the assigned extension and carry the actions; the list view adds column sorting, page-size control, and a search box that narrows the rows on the page you are looking at.
- Active devices are listed before inactive ones, alphabetically by name, unless you sort a column in list view yourself.
- Select a card or row to open the details drawer: SIP username, MAC address, brand, model, display name, phone label, time zone, and — where one is set — the phone’s wallpaper.
The SIP username identifies the device and is read-only. It is deliberately independent of the extension number, so two devices answering the same extension stay individually addressable.
Edit a phone
- Select Edit from a phone’s card.
- On Details, update the values the device supports:
- Name — how the device is listed in the dashboard. Required, up to 200 characters.
- Phone Label — the line label shown on the phone, up to 32 characters.
- Display Name — the caller ID name the device presents, up to 64 characters.
- Notifications — whether the phone pops a missed-call banner and a new-voicemail banner. Turning the missed-call popup off suppresses only the banner; missed calls still appear in the phone’s call history. Turning the voicemail popup off still leaves the voicemail indicator (MWI) lighting up.
- Status — active or inactive. Inactive devices stay in the list, dimmed.
- Brand-specific controls, such as speaker volumes or SIP transport, appear only on devices that use them.
- On Buttons, configure the line, expansion, or soft keys offered for that model. Resolve every highlighted incomplete or duplicate key before saving.
- Select Save.
Which extension a phone answers is not set here. Open the extension and use Manage phones.
Apply the configuration to the device
Saving records the change; it does not move it onto the hardware. A saved change reaches a Yealink phone at its next provisioning cycle, within 24 hours, or immediately when you push it.
- Push Config reloads the configuration on the device.
- Push Config & Reboot restarts it as well. Use this whenever monitored-extension (BLF) keys, other line keys, or SIP account settings changed — the phone only re-establishes the subscriptions behind those lamps after a restart.
A successful push reports Config pushed or Reboot sent. Immediate push is offered for Yealink devices; other families take a different route, covered in Set up softphones, cordless handsets, and speakers.
Expected result
The device list refreshes with the saved values, and after a successful push the phone reflects them — labels on the screen, the notification behavior you chose, and any button layout you set.
Troubleshooting
- Save reports that a button key is incomplete or has a bad key number: Open the Buttons tab and fix the highlighted rows. Nothing is saved until every row is valid.
- Button settings do not load: The Details tab can still be saved, and your existing button configuration is left untouched. Reload the page and retry the button edit.
- Phone did not acknowledge config push: If the message says the phone has no assigned extension, assign one from the extension editor and push again. Otherwise confirm the device is powered on and connected, then retry; contact support if it persists.
- No Push Config action: Immediate push is shown for Yealink phones. Softphones use a configuration URL, and other device types reload on their own schedule.
- A card has no Edit action: It is a child device — a cordless handset or a speaker ringer — and is configured from its base station.
- A device cannot be assigned to an extension: It belongs to another extension already. Change that assignment first; each phone answers at most one extension.
