Use a Steer Phones-managed Profile
Understand what a Profile controls on a Call Assistant, how to switch onto one, and what stays yours.
A Profile is a system prompt and a set of tools that Steer Phones writes, publishes, and keeps current. An assistant can follow a Profile instead of carrying its own prompt — you keep the parts that are specific to your shop, and Steer Phones maintains the behavior underneath.

Your Custom Prompt still applies under a Profile: at call time it is appended after the Profile’s prompt, so shop-specific instruction keeps working without you owning the base text.
Recognize a managed assistant
- On the assistant’s page, the Prompts card shows a Managed by Profile badge with the
Profile’s name and its published version, such as
Managed by Profile Service Advisor (v4). The system-prompt box is not shown at all — the text belongs to the Profile. - The Enabled Tools card carries the same badge and lists the Profile’s published tools as read-only badges. A Profile that publishes no tools says so.
- On the Assistants list, the card labels its middle row Profile and names the Profile instead of listing tool names.

Choose a Profile for a new assistant
- Open Call Assistants > Assistants and select Create Call Assistant > Blank Assistant.
- Under Use a Profile (optional), pick a Profile. The card only appears when Steer Phones has published at least one Profile you can use.
- The Prompts and Enabled Tools cards switch to their managed state immediately. Fill in the fields that remain yours — name, greetings, custom prompt, voice, tags — and select Create Assistant.
Leaving the picker on Custom (no Profile) keeps the assistant independent.
Some templates under From Template are themselves backed by a Profile. An assistant created from one of those starts out managed, with the same badges.
Switch an existing assistant onto a Profile
- Open the assistant. Above the Prompts card, a Use a Profile picker is shown while the assistant is still custom.
- Choose a Profile and select Switch to Profile.
- Read the confirmation. Switching replaces the assistant’s own system prompt and tools with the Profile’s published set, and the custom configuration you had cannot be recovered. Select Keep custom to back out.
- Confirm. The page reloads the assistant in its managed state.
Copy anything you want to keep out of the system prompt before you switch — into the Custom Prompt, or into a note outside the dashboard.
There is no dashboard control to take an assistant back off a Profile. If you need an independent assistant again, create a new one with Custom (no Profile).
What happens when Steer Phones publishes an update
A managed assistant follows the Profile’s currently published version. When Steer Phones publishes a new version, your assistant uses it on the next call — no action from you, and the version number in the badge changes. Only published Profiles can be selected, so a Profile Steer Phones is still drafting never appears in your picker and never affects a live call.
Expected result
The assistant’s Prompts and Enabled Tools cards are read-only and badged with the Profile name and version, everything else on the page stays editable and saves normally, and the assistant answers calls using the Profile’s current published behavior plus your custom prompt and greetings.
Troubleshooting
- No Profile picker appears when creating an assistant: Steer Phones has not published a Profile available to your account. Continue as a custom assistant.
- The controls say “No Profiles available yet”: same cause, seen from a saved custom assistant.
- “Couldn’t load profiles. Refresh and try again.”: the list did not load. Refresh the page; if it persists, contact support.
- The tool list is empty on a managed assistant: the Profile publishes no tools. The assistant can still talk to callers, but it cannot book, transfer, or send anything.
- You need a tool the Profile does not enable: the tool list is not editable while a Profile manages it. Create a custom assistant for that job, or contact support.
- Switching lost work you needed: the previous custom prompt and tool selection are not recoverable after the switch is confirmed. Rebuild them on a new custom assistant.
