Get access to a phone system as an invited user

What an invitation grants, what arrives by email, and how signing in applies your access without an acceptance step.

Access to a phone system is granted by an administrator of that system, who invites your email address and chooses your role. There is no invitation page to open and no acceptance button to press: you sign in with the invited address, and the access is applied while your profile loads. This page describes that from the invited person’s side — see the related guidance for the administrator’s side.

What an invitation grants

An invitation names three things:

  • One phone system. Access to a second system needs its own invitation from an administrator of that system.
  • A role for that system, which decides what you can see and change there. Your role is per system, so you can be an administrator of one and a limited user of another.
  • Optionally an extension, reserved for you at the time of the invitation.

An invitation is valid for seven days from the moment it is sent or resent. After that it grants nothing until an administrator resends it.

What arrives by email

  • If you have never signed in to Steer Phones, an account is created for your address and you receive an email asking you to set a password. Set it, then sign in.
  • If you already have a Steer Phones account, no password email is sent — you already have a password. Nothing else is waiting for you; just sign in.

Sign in and pick up your access

  1. Open the Steer Phones dashboard and sign in with the exact email address that was invited. Capitalization does not matter, but a different address does — an invitation for one address is never applied to another account.
  2. Your outstanding invitations are applied as your profile loads. If several are outstanding, they all apply in the same sign-in.
  3. Check the phone-system name in the header. When you can reach more than one system, the header becomes a selector that names your role for each.

Your existing access is never reduced by an invitation. If you already hold a higher role for that phone system, the invitation is recorded as used and your role stays where it is.

If an extension was reserved for you but was assigned to someone else before you signed in, your access is still granted — without that extension. Ask an administrator to assign you a free one.

Expected result

After signing in with the invited address, the phone system appears in the header, the selector shows your role for it, and the pages your role allows are available in the navigation.

Troubleshooting

  • Nothing appears after signing in: The address you signed in with may differ from the one that was invited, or the invitation may have expired or been revoked. Ask the administrator to confirm the address and resend.
  • The dashboard says you have no phone systems: Your sign-in worked but no access is attached to the account. Log out and ask for an invitation to the address you used.
  • The password email never arrived: It is only sent when the address had no account yet. If you have signed in to Steer Phones before, use your existing password — resending the invitation will not produce a password email for an account that already exists.
  • You were invited again but nothing changed: A repeat invitation cannot lower an existing role. If your role should change, an administrator changes it directly instead of re-inviting you.
  • You can see the system but not a page you expect: Pages are shown according to your role for the active system. Ask an administrator of that system to review it.
  • No extension is assigned to you: The reserved extension may have been taken before you signed in. An administrator can assign an available one.
